Create a New Room Whenever you need to establish a dedicated space for your services, click the "Create Room" button. A room can represent any physical space, such as a massage room, salon chair, or workout area. Name Assign a name to your room, like "Spa Room 1" or something that clearly identifies the room's purpose to your customers when they are booking appointments. Description Provide a brief description to help customers understand the purpose of the room. Total Capacity If your room has multiple stations, such as five chairs, you’ll need to limit the number of bookings to that capacity. This is where you set that limitation. Adjust Capacity Use the "+" and "−" buttons to increase or decrease the room's capacity as needed. Link to Calendar In this step, you can associate the room with one or more service calendars within the system. Finalize or Cancel Once you’ve configured the room to your liking, click the “Create” button to finalize. If you need to start over, use the “Cancel” button to return to the rooms menu. Search for a Room Use the search bar to quickly locate a specific room by typing its name. Room Name Column The names of all rooms will be listed here. Total Capacity This column displays the capacity for each room. Services Linked to Room Here, you can view which service calendars are linked to each room. Multiple linked calendars will be displayed. Status This column shows whether the rooms are currently active or inactive. Date Updated For tracking purposes, this column indicates when each room was last updated. Actions Menu Click the three dots to access the actions menu. Edit: Modify the room name, update the description, or adjust the capacity. Disable Room: Temporarily remove the room from your calendars using the toggle switch. Delete: Permanently delete the room. Equipment Search Equipment Quickly locate any equipment by typing its name into the search box. Equipment Name Column This column displays the names of all equipment. Total Quantity Shows the quantity set for each piece of equipment during setup. Services Linked to Equipment This column indicates the service menus selected when the equipment was set up. Equipment Status Here you can see the current status of each piece of equipment. Date Updated This column indicates when each piece of equipment was last modified or when it was initially created. Actions Menu Click the three dots to access actionable options. Add New Equipment To add new equipment, click the "Create/Add Equipment" button. This can include any tools, devices, or machines essential for your services. Equipment Name Provide a name for the equipment that will be meaningful to your customers. Description Add a detailed description outlining the equipment's purpose and usage. Total Quantity Input the total number of units available for this equipment. Adjust Equipment Quantity Use the "+" and "−" buttons to increase or decrease the quantity of the equipment. Out of Service Quantity Record the number of equipment units that are currently not in service or require maintenance. Link to Calendar Select which calendars to associate with the equipment. Finalize or Cancel Click “Create” to save the equipment information. If you need to cancel, use the “Cancel” button to return to the Equipment menu.

What is a Service Calendar? A Service Calendar is an essential tool tailored for service-oriented businesses to optimize their scheduling operations. This system enables businesses to efficiently offer and manage various services, organize them into categories, and present these options to customers via a unified scheduling link, commonly known as the Service Menu. Below are the core elements and steps involved in creating a Service Calendar: Key Features: Diverse Service Offerings: Service Calendars allow businesses to showcase all the services they provide. Service Categorization: Services can be organized into categories, simplifying the selection process for customers. Staff Availability Integration: The calendar syncs with the availability of team members, enabling businesses to assign services to specific staff. Service Duration Management: Each service can have a set duration to ensure optimal scheduling. Payment Integration: Businesses can configure the calendar to accept payments during the booking process. Step-by-Step Guide to Creating a Service Calendar Step 1: Setting Up the Calendar Basics Begin by logging into your account and navigating to the Calendars section. Select "Create Calendar" and choose the "Service Calendar" option. You'll need to provide some essential information: Calendar Name: Give your calendar a clear and descriptive name. Calendar Description: Write a brief explanation of the calendar's purpose. Staff Assignment and URL: Assign services to staff members and set a unique URL or slug for the calendar. Service Duration: Define the duration of each service. Explore additional customization options under the Advanced Settings if needed. Step 2: Defining Service Details Upload a logo for your service that will appear on the Appointment Booking Widget for this calendar. ? Note: The logo is visible only on the appointment widget for a single service calendar. For groups or menus, use a Service Cover Image instead. If adding the Service Calendar to a Service Menu, categorize it into a group for better organization. ? Note: Service Calendars can be utilized within both a Service Menu and a Group. You can also customize the Appointment Invite Title, which appears in calendar applications like Google Calendar, and choose an event color to represent this calendar. Step 3: Setting Availability Define the Appointment Duration to specify how long each appointment will last. Additionally, you can: Add Post-Buffer Time for transitions or preparation between appointments. Set a Minimum Scheduling Notice to control how far in advance appointments can be made. Establish a Date Range to limit future bookings. Step 4: Forms & Payment Configuration Determine how client information will be collected, either through a default form (gathering Name, Email, and Phone number) or a custom form you create. You can also set up a consent checkbox and message. ? Note: Custom forms apply only to bookings made directly on a Service Calendar. For bookings through the Service Menu, default forms are used. Choose a Confirmation Page option, either displaying a thank-you message or redirecting users to a specific URL. To accept payments during bookings, connect your payment gateway via the Settings > Integrations menu. ? Note: Ensure the same currency is used across all service calendars within a Service Menu. Step 5: Notifications and Customization Set up appointment notifications, including who should receive them and whether to allow Google Calendar to send invitation emails. Assign contacts to their designated staff member upon booking. Additionally, you can customize the Service Cover Image for the Service Menu. You can also add Additional Notes to appear in Google invitations. ? Note: The option to allow staff selection is enabled by default. To disable this, scroll down in this section and toggle it off. Step 6: Rooms & Equipment Select rooms and equipment from the available list to associate them with your service calendar. These resources will be booked along with the service. Finally, save your settings, and your Service Calendar will be fully operational and ready to accept bookings.

The Service Menu feature allows your business to create specialized calendars dedicated to each service offered. It's an ideal tool for industries such as salons, event planning, and fitness studios, as it simplifies scheduling by providing a unified service list with categorized calendars for seamless management. Creating a Service Menu The "Create Service Menu" button lets you initiate a new service menu from the ground up. Preparation Tip Before crafting a service menu, ensure that you've already set up calendar groups and individual service calendars. Service Menu Details Designing a user-friendly service menu for your booking system involves several essential steps: Service Menu Name: Assign a specific name to your service. Description: Provide a brief description to inform customers about what this service menu offers. Service URL: Input a custom URL segment that will appear at the end of the link, ideally related to the service menu. Consent Checkbox: If customer consent is needed, keep this toggle on. Otherwise, switch it off if no consent box is required. Confirmation Page: Choose whether the booking confirmation appears on the same page or redirect customers to a specified URL. Thank You Message: Customize the thank you message that customers will see after booking an appointment. Additional Configuration Options Allow Adding Guests: Toggle on/off to let bookers add additional guests. Multiple Service Selection: Limit bookings to one service or allow selecting multiple services. Staff Selection: Enable this option for bookers to choose their preferred staff member. Custom Code: Insert any custom code related to the service calendar. Selecting Services Service Groups and Calendars: After setting up your service groups and calendars, they will appear here for selection. Use the dropdown menu to choose the desired options. Select All: To add all available services to the menu, simply check the "Select all" box. Organizing Your Services This feature allows you to rearrange the order in which services are displayed on your booking page. Drag the hamburger icon to move items up or down. Save and Close Always click "Save" to apply any changes made to this page. If you wish to exit without saving, click the "Close" button to return to the main calendar service menu. Search Function Use the search bar to quickly locate a specific service menu without scrolling through the entire list. Just type the service menu name, and it will appear within seconds. Service Menu Name Column This column displays the names you assigned to each service during the creation of service calendars. Date Updated Column Here, you can see the last date when each calendar in the list was updated, reflecting any changes made to the service menu. Status Column This column shows whether the service menu is currently active or inactive. When active, it is visible to clients who can select the service while booking. Action Dropdown Menu This three-dot menu provides advanced management options for each service menu. Let's explore these options: Edit: This allows you to revisit and modify any saved information within the service menu. Copy Embed Code: Use this code to integrate the service menu into your website, enabling visitors to book directly. Copy Permanent Link: Click to copy the service menu link to your clipboard for use on external pages. Copy Scheduling Link: Use this option to copy the scheduling link, which can be shared with potential customers via text or other methods. Deactivate Service Menu: If you wish to disable the service menu, this option will make it invisible to customers. Delete: This will permanently remove the selected service menu from the calendar.
