Creating a Custom Email Template
To begin creating a new email template, navigate to the Templates section within the Conversations tab of your CRM. In the top-right corner, you'll find a green button labeled + Add Template. Click this button to reveal a dropdown menu with two options: 'Add Text Template' and 'Add Email Template'. Choose the Add Email Template option, and a pop-up window will appear, allowing you to enter the necessary details for your custom email template. Naming Your Template When naming your template, it's crucial to use clear and consistent naming conventions. This practice ensures that both you and your team can easily find the appropriate template when needed. Adding a Subject Line To assign a subject to your email template, locate the box labeled Subject beneath the template title. Input a subject line that will make the email easily recognizable to your recipients. Crafting the Email Body The main content of your email is entered in the body section of the template. You can personalize the message by incorporating custom values and trigger links, which are accessible from the dropdown menus at the top of the text box. Attaching Files To attach files to your email template, click on the paperclip icon located at the bottom left of the text box. This allows you to easily include images, documents, and other files along with your message. Sending a Test Email Before finalizing your template, it’s a good practice to send a test email. Fill in the sender and recipient email addresses in the respective fields below the message body, then click the green Send Test button. Once you are satisfied with the template, don't forget to click the green Save button in the bottom right corner of the text box. Previewing on Mobile To see how your email will look on mobile devices, check the preview section on the right side of the screen. This area displays the template content, including body text and any attachments you’ve added.
How to Create an SMS Template
To start creating a new SMS template, go to the Templates section under the Conversations tab of your CRM. Click on the green + Add Template button located at the top right of your screen. A dropdown menu will appear, giving you the option to select either Add Text Template or Add Email Template. Choose Add Text Template for this task. A popup window will then open, where you can fill in all the necessary details for your template. Naming Your Template It’s important to choose a descriptive name for your template. By following consistent naming conventions, you and your team will be able to find the template quickly when it’s needed. Crafting the SMS Template In the body section of the popup, write the message you wish to include in the template. To personalize the message, you can add custom values and trigger links by selecting them from the dropdown menus above the text box. Attaching Files to Your SMS To include a file, such as an image or document, click on the paperclip icon located at the bottom left of the text box. This allows you to send additional files along with your SMS message. Previewing Your SMS Template On the right side of the screen, you’ll see a preview of your SMS template. This preview shows the text of your message as well as any attachments you’ve added. Testing Your SMS Template To test your template on a mobile device, enter your mobile phone number in the Mobile Phone Number box beneath the message preview. Click the green Send Text button to send a test message. Check your phone to ensure the message appears correctly. Once you’re satisfied, click the green Save button at the bottom right of the template body box.
Introduction to SMS & Email Templates
In the Conversations section of your CRM, the Templates tab enables you to design both SMS and email templates. These templates are invaluable for sending consistent, manual messages to clients. You can customize them by adding various elements, including personalized values, trigger links, and attachments, to fit different communication needs. Important: Access to certain features may depend on your user permissions. Overview of Existing Templates If you have already created templates in your CRM, they will be listed here. Each template is identified by four key components: name, message content, attachments, and type. Template Name On the far left of the Message Templates section, you’ll find a list of your existing templates identified by name. Template Body Adjacent to the name column, you’ll see the content of each message template. Template Attachments Following the message content, you can view any attachments included in your templates. Template Type On the far right, under the Type column, each template is categorized as either an SMS or email template. Editing Templates To modify or view a template, click the edit icon (a box with a pencil) next to the template name and body. This will open a popup displaying the template details, where you can make edits or test the message. Remember to click the green Save button at the bottom after making any changes. Deleting Templates If you wish to remove a template, click the trashcan icon next to the template you want to delete. Please be certain before deleting, as this action is irreversible. Creating New Templates To create a new template, click the green + Add Template button located on the far right of your screen. A dropdown menu will appear, allowing you to select either an SMS or email template. After selecting, a popup will prompt you to enter the template details.
