Calendar Synchronization Settings

When you configure or update your calendar, you'll come across various synchronization settings. Familiarizing yourself with these settings will help you make the most out of your calendar's integration with other platforms. Overview of Sync Options One-Way Sync: Details: In this mode, events from your Google Calendar will be visible on your CRM calendar, marked in grey. Any appointments created within the CRM calendar will sync back to Google, and the CRM will reserve time slots for events from Google. However, this option doesn't add participants from Google Calendar events as contacts in the CRM. Ideal For: This setting is generally recommended for users who want a straightforward integration that prevents the CRM from being overloaded with contacts from every calendar event. Two-Way Sync: Details: This option allows events from your Google Calendar to appear on your CRM calendar in different colors for easy identification. The CRM will also create contact records for attendees of Google Calendar events and integrate these contacts into related calendar actions. Note: A legend for the event colors on a Two-Way Sync calendar is available by clicking the small blue-circled question mark next to the calendar dropdown menu. Practical Examples and Recommendations One-Way Sync: This option is perfect for those who schedule external meetings but need to prevent double bookings by ensuring their CRM calendar reflects these appointments. Two-Way Sync: This setting is ideal for businesses that hold events or meetings and want to automatically gather participant details in their CRM for future communications. Troubleshooting and Frequently Asked Questions Q: Why aren't my events syncing as expected? A: First, confirm that you've chosen the correct sync setting and that your external calendar is properly connected to the CRM. It's also a good idea to review the sync settings in both your CRM and external calendar. Q: Is it possible to change my sync settings later? A: Yes, you can adjust your synchronization preferences at any time by going back to the Calendar Settings.

Connecting Your Google Calendar

To get started, you'll need to link your Google account. Begin by accessing the Settings on the left-hand menu, followed by selecting Integrations at the top of the page. From here, locate the Google icon and hit the Connect button. A new window will appear, prompting you to choose the Google account you wish to connect. Select your account, input your Google password, and press Next. Once your login details are confirmed, click Allow to grant the necessary permissions. Afterward, the window will automatically close, returning you to the CRM platform. Simply click the Close button at the top right. In the Integration Settings, you’ll see confirmation that your Google account is now successfully linked. Setting Up Your Calendar Next, head over to the My Profile section, located within Settings. Scroll down until you see the Calendar Configuration option. Click the Add button, choose the Google Calendar you just linked, and then click Save. From now on, any appointments assigned to you will automatically sync to this calendar. Managing Calendar Conflicts Once your Google Calendar is connected, you can manage scheduling conflicts directly from the system. To do this, click the Add button under the Calendar Conflict section. Select the types of conflicts you'd like to monitor and press Save. Now you're fully set up with your Google Calendar integration!

Once selected, the chosen calendar will immediately update on your screen. Adjusting the Date Range Keep your upcoming appointments in check by adjusting the date range. The calendar defaults to a weekly view, but you can switch to a daily or monthly view with a simple click on the "Weekly" button, where you can select the view that best suits your needs. Managing Availability Tailor your calendar display by filtering events. By default, all events are shown, but you can narrow this down to only appointments or only blocked slots by using the "All" button and selecting the desired filter. Quick Access to Today's Schedule Need to jump back to today's schedule quickly? The "Today" button at the top left of the page lets you instantly view your current day's schedule, with the day's events highlighted for easy reference. Navigating Through Dates To browse past or upcoming dates, use the arrows located next to the "Today" button. These controls let you move forward or backward through days, weeks, or months to view your schedule as needed. Calendar Symbols and Annotations Quickly interpret your calendar with the use of patterns and symbols designed to provide instant insights into your schedule without the need to click on each event individually. Filtering by Team Member You can view specific team member schedules by filtering the calendar to display only the selected member's appointments. Focusing on Specific Calendars When you need to focus on a particular calendar, use the filter to view events specific to that calendar, helping you stay organized. Viewing Group Schedules Easily switch to viewing group calendars to monitor events and activities shared among team members. Enhanced Calendar Visualization Color Coding: Different colors help you distinguish between users, groups, and calendars, making it easier to identify appointments at a glance.
